1st Annual Play-A-Thon! Jan. 27th.

Our first annual Play-A-Thon will be held on Friday, January 27!

Much like a "jog-a-thon," thisfundraiser requires participants to collect pledges either based on completed hourly-work or a flat donation. Instead of jogging, we will be practicing our instruments and routines. Students will be able to complete as many hours as possible between 8:00 am and 8:00 pm on the 27th. If each student in the band program and color guard collected a total of $50, we could make close to $5,000 on this one event, not to mention all of the great work we could accomplish! Students are not encouraged to go door-to-door to collect pledges. Family and friends are the best place to start; also, remember to check and see if your employer matches donations!

Students will have the opportunity to play music from not only their own class' repertoire, but all of the other ensembles as well! We will also go through method books, sight-reading binders, and preview marching band music. In addition to the large ensemble that will be playing all day in the band room, section coaches from Portland Youth Philharmonic, and other professionalswill be available at varying intervals during the day.Students will receive a schedule for our guests so that they can plan their time accordingly.

Students do not necessarily need to complete their hours during the time that their section coaches are available; this is a flexible and fun event, where participants will be coming and going as their schedules allow. Donated fooditems (sandwiches, fruit, chips, cookies, drinks) will be available for purchase throughout the day, as part of the fundraiser. Students are also welcome to bring their own food, as long as it remains in the eating area.

There will be a pizza party at 8:00 pm for all students who complete a total of two or more hours, at any point during the day! Even if your student finishes their hours in the morning, come back for the party in the evening!

Students will check in with parent volunteers when they arrive, and then check out when they leave. Their "in" and "out" times will be written on their pledge envelope, and then on the number of collection and thank you letters they will need to send out. Students are responsible for sending out these letters to their sponsors, as well as collecting all of their donations.

The class with the highest average hours practiced will win a specialty party!

Students must keep track of all of their pledges on their pledge envelopes, and bring the envelope with them to the Play-A-Thon. Remember, donors can pledge an hourly rate for practice or give a one-time flat donation, regardless of how many hours the student practices. Once students have totaled their hours and calculated pledge promises,all money must be collected and turned in byFriday, February 3. Please make checks payable to
"BEAVERTON BAND BOOSTERS."

 

We also need parent volunteers to make this event successful! The assignments will be as follows:

Set-up/Tear-down (5-8 each)
Arrive at 7:00 am to set up chairs, stands, instruments and tables OR
arrive at 8:30 pm to put everything back! Feel free to do both!

Check In/Out (2 at all times)
Mark student in/out times on their pledge packets
Make sure all students have name tags

Food Handler (2-4 at all times)
Supervise food distribution
Handle any money received
Make sure all food stays in eating area

Pledge Table (2-4 at all times)
Fill out pledge collection forms (total student hours and pledge amounts)
Address "Thank You" letters and fill in completed hours
