Opportunities
We are extremely fortunate
to have a strong commitment from all our Ensemble
families*. Without the hundreds of hours of
contributions from our parent volunteers, we could not
have a marching program. Please take a moment to review
the categories listed below. If an activity looks
interesting, sign up! We’d love to get to know you and
your family better.
Apparel/Merchandising
Awards and
Recognition
Sign Up
What would I do?
Organize and with other
volunteers, carry out the special recognition of
senior ensemble members at the Homecoming game in
the fall.
Work with the board,
band director and other volunteers to create and
execute the annual Awards & Senior Recognition event
in the spring, including set-up, refreshments,
recognition and awards for volunteers, and clean up.
This job requires several hours on an “as needed”
basis between now and May.

Band Camp

What would I do?
Band Camp is a very busy time. The
coordinator(s) work closely with the Board members
while organizing the team of workers for various
duties to be performed during Band Camp. Workers
help man the check-in tables, copy music and other
materials, set up/tear down any tents, fill water
coolers, getting afternoon treats, etc. Often these
duties can be split up between morning and afternoon
activities. This is a great way to meet the band,
the Board, and get acquainted with the instructors.
Being a Band Camp volunteer does not mean that you
have to set aside all days of band camp to work.
Depending on the duties, you may be needed for only
a couple of hours on one day, to a several hours on
a couple of different days.

Banding
Together Middle School Program

What would I do?
Work with the Band Director in various outreach activities
with 8th graders, such as Preview and Forecast
Nights, band class visits, 8th Grade Welcome Night,
etc. Set dates for Drum Line and Colorguard
appearances in the fall. Oversee one mailing that
should go out to all 8th graders in mid-January.
Work with the Board, Drum Majors and Colorguard
Captains to host Welcome Night for all incoming
marchers in Spring. Time commitment is about three
evenings in the fall, one evening during the winter,
and one evening during spring, along with minimal
preparation for each. Most activities are easy to
delegate to committee members and students, such as
photocopying, refreshments, etc. This committee is a
great opportunity for someone with students in
middle school and BHS!

BHS Booster Club
Liaison

What would I do?
Represent the band program at the monthly
BHS Booster Club meetings. Work with the Board to
address concerns they might have or that the BHS
Boosters might have with the band program. Work with
the Band Director to submit funding requests from
the BHS Boosters.

BHS Concession
Stand

As supporters of the Beaverton High
School Booster Club, one of the Band Booster
responsibilities is to help staff the concession
stands during athletic events. There are two
concession stands on the football field, and one in
the main hall near the basketball court. Each club
or organization is asked to staff a concession stand
twice a year, with the dates usually announced well
in advance. This is the BHS Booster Club's main
fundraiser (separate from the Band Boosters). In
return, the BHS Booster Club donates a portion of
the concession and other proceeds to our Band
Booster organization for approved projects.
What would I do? Coordinate
Band Booster volunteers to work two-hour shifts
pouring drinks, taking money (a very easy job) and
selling food to hungry people. This is a great way
to meet other parents and swap stories during the
quiet times. Its lots of fun! Parents with a Food
Handler permit are particularly valuable volunteers
because there is a legal requirement that there be a
licensed Food Handler at each stand at all times.

BHSBE Concessions

What would I do?

events (concerts, guest artists, etc.

Chaperones

What would I do?
Coordinate chaperone volunteers and
supplies for competitions, parades and other
performances like Graduation. Time commitment is in
the fall and then a little in the spring.
Competition chaperones
spend a Saturday with the kids checking them and
their uniforms onto the buses, riding with them to
the competitions, helping with uniform distribution, helping them get dressed properly for
each performance, enjoying the shows (often you get
in free), monitoring the bus ride home.
The competition
chaperone commitment is one or more full Saturdays
from morning until late evening (depends on the
show), ongoing from September through the last show
in early November.

Colorguard
Uniform and Flag Team

What would I do?
With guidance from the Colorguard Advisor and Mr. Head, create the
uniforms and accessories for the Colorguard. Duties
include: establishing a costume and/or flag design (the
Colorguard Advisor will usually provide drawings of what
he has in mind), researching fabric ideas and requesting
samples, working with a standard pattern or developing a
pattern to fit the needs of the show, getting together
with other volunteers to sew costumes and flags, fitting
the guard in their costumes, and maintenance of costumes
and flags as the need arises.
A
budget has been established by the Band Boosters for the
Colorguard each year. The coordinator must work within
this established budget. If the budget allows, costumes
and flags may be purchased.
This activity requires a
good deal of time in August and September preparing
costumes and flags for 15-20 students.

Competition Feeds

What would I do?
As the coordinator of the event, you would
be responsible for organizing your team of
volunteers, securing donated/purchased meal items
and necessary equipment (grills, camp stoves,
propane burners, etc.), developing other equipment
lists and making food assignments. This event takes
place at all but one of the fall competitions. We
serve all BHSME members, volunteers, and staff.
Workers would be assigned various duties including
transportation of equipment, set-up, food
preparation, and clean-up.

What would I do?

Corporate Sponsorship

What would I do?
Coordinate our overall program with
designated levels of sponsorship plus stand alone
projects to create an influx of income for the
Beaverton Band Booster General Fund. This committee
concentrates on using the resources of our business
community.

Friday Night Feeds

What would I do?
Work with coordinators to determine what
meals to provide for BHSME so that they can stay on
campus between Friday afternoon rehearsals and home
football games. The Band Boosters provide dinner,
usually for no additional charge, at the school for
all Ensemble members. You’d help plan, shop/solicit
donations for, and serve the dinners, doing set-up,
and/or clean up. Each feed would require several
hours on an “as needed” basis for planning and/or
serving at any home football evening you’d be
available.

Fundraising
Committee and Leads

What would I do?
•
Committee: A team
of volunteers that develop a fundraising plan for
the ensemble and the band program. This team works
with the Board and the Fundraising Committee Chair
to determine fundraising needs of the General Fund
and Student Accounts and to establish fundraising
opportunities to meet those needs including
opportunities for students and parents to support
upcoming band trips.
Leads: A person
or persons who will coordinate a specific fundraiser
scheduled by the committee. Work with the
Fundraising Chair and the event committee to plan
the event, schedule volunteers, procure from vendors
anything needed for the event, get the word out,
etc. Events vary year by year. See the
current year fundraising plan to find an event
that interests you!

Photo/Video

What would I do?
Photo: Take
candid shots when you can at rehearsals, football
games, competitions, etc. Upload your shots and
photos by other parents to our website to share with
all ensemble families. Coordinate with other parent
volunteers to make sure as many performances as
possible are covered.

at rehearsals, football games, competitions, etc.
for a video compilation to be distributed at the end
of the year. Coordinate with other parent volunteers

Pit
Crew

What would I do?
Coordinate Pit Crew needs for each
performance. Communicate with the Band Director and
the Board before each competition to address any
concerns, equipment needs and to make sure
everything is in order for the competition. Load
and unload all the “pit” instruments (timpani,
xylophones, bass drums, props) into the truck before
and after competitions. Get equipment on the field
and set up in a short window of time as part of the
warm up for competition. At home football games, do
the same set-up.
For
football games, the time commitment is approximately
from 5:30 or 6:00pm until 10:00pm. Competitions
require one or more full Saturdays from early
morning until late evening (depending on the show).
You do not have to attend every competition.

Portraits

What would I do?
Coordinate BHSME Portrait day(s). Help
secure a photographer if needed. Schedule times for
each section. Schedule volunteers to help.
Collect, place & deliver portrait orders. Ordering
is done on-line with Costco – very easy! Portraits
are taken place in the fall. Orders are taken so
they can be delivered by Thanksgiving.

What would I do?
Sew/manufacture and maintain any props used during for marching
competitions, such as banners, stage-like setups, or
screens.

What would I do?
Maintain and update a student database in order to publish various
lists during Band Camp week and mailing labels for the
newsletter and other mailings. Time commitment is a few
hours a month, with most of the work taking place over
the spring and summer as next year’s Ensemble members
start signing up.

What would I do?
As the coordinator of the event, you would be
responsible for organizing your team of volunteers,

the fall competitions. We serve all BHSME members,
volunteers, and staff. Families may purchase a meal
ticket and join the party! Workers would be assigned

Uniforms

What would I do?
Be responsible for the overall health of the
band uniform inventory. Coordinate with the board
and order new uniforms, shoes and supplies when
needed. Coordinate the following uniform teams:
Uniform Team for
Adjustments: Fit and adjust uniforms to fit the
students. Occasionally mend or refit as growth
spurts occur, or uniforms need mending, or other
attention. Several hours to several days may be
needed, arranging your schedule to fit the time of
arrival of the uniforms. Most of this work will be
during Band Camp (we hope!)
Uniform Team for
Performances: Check uniforms in and out on
Fridays before football games. For games, the time
commitment takes place from about 5:30-6:30pm and
9:00-10:00pm. For competitions, the work starts on
Saturdays at departure (usually mid-morning or
earlier) and ends when the buses return (10:30pm or
often later).
Other: As needed
for parades and Portrait Day.

Volunteer Coordinator

What would I do?
Monitor the list of volunteer candidates and the tasks they made
time commitment for. Keep track of all parent volunteer
hours and commitments. Call volunteers for events as
requested by event coordinators.

Webmaster

What would I do?
You would be responsible for updating the content of the BHSME web
site (http://www.bhsme.org). You would receive content
from the BHSME Board, BHSME volunteers, and update the
web site accordingly. Content includes notices,
pictures, event calendars, contact information, maps,
and downloadable forms. You would be the primary contact
for BHSME web site related issues. After the marching
season is over, you would continue to post meeting
dates, concert dates, and other information related to
the band. Some experience with maintaining web pages
would be very helpful in this position. Activity in this
position continues throughout the school year, but is
very active beginning in late July/early August through
the end of the marching season (early November).

*Parents keep our
Marching Ensemble going. In order for us to keep
participation fees as low as possible (our actual cost
per student to run the Ensemble is in excess of $500),
we need parent help in order to raise funds and
implement some of our programs. After much careful
thought and consideration, the Beaverton Band Booster Board has found it
necessary to implement a MANDATORY requirement
for each parent or guardian to commit to a minimum
number of hours assisting the BHSME throughout the year.
You will be asked to
designate which activities you can commit to for the
upcoming season. Parents may alternatively choose to opt
out of this time commitment by contributing $150 to the
BHSME. This fee will be assessed as an Opt-Out Fee of
$150 in addition to your regular participation fees.
Either election is gladly accepted and will be a benefit
to the ongoing success of the program. |
